Scope
Fairmont Management (“Fairmont,” “we,” “us”) describes here how personal information is handled in connection with fairmanage.com, website inquiries, and access to employee resources. Property websites, resident and rental application portals, and third-party services may provide additional privacy notices. This policy does not replace those notices or any applicable employee, applicant, or resident notice.
Information provided to us
Our website contact form asks for your name, email address, subject, and message. We receive the information you choose to include when you contact us by form, email, or telephone. Please do not include Social Security numbers, payment-card information, passwords, or sensitive medical details in a general website inquiry.
Authorized employees accessing company resources may provide work-account information and information submitted through company forms, including incident details and attachments. Such records may contain information about residents, employees, witnesses, or other individuals. Use the designated company reporting process for these records.
Website and account information
Website hosting, security, accessibility, and other service providers may process technical information such as IP address, browser and device information, pages requested, and activity timestamps to deliver and protect their services. Cookies and similar technologies may support site functionality, preferences, and account sessions. Browser settings allow you to manage cookies; blocking them may affect functionality.
Cookies and accessibility services
The website uses Cloudflare security services, including the __cf_bm cookie, to help distinguish legitimate visitors from automated threats. Cloudflare states that this cookie expires after 30 minutes of continuous inactivity. We also load the UserWay accessibility widget to provide optional display and navigation adjustments. These providers process technical information needed to deliver their services. Browser settings can limit cookies, although some features may be affected.
How information is used
We use information to respond to inquiries, provide requested assistance, administer property-management services, maintain company records, support authorized employee activities, investigate reported concerns, protect systems and individuals, and meet applicable legal obligations.
Service providers and other disclosures
Information may be available to personnel who need it for their responsibilities and to service providers supporting hosting, communications, security, business applications, and related operations. The public website is hosted through GoDaddy and uses WordPress. Private employee resources use Microsoft 365 and SharePoint. The information processed by each service depends on how that service is used.
We may disclose information when required by applicable law or legal process, or when reasonably necessary to address fraud, security incidents, legal claims, or threats to safety.
Employee access and security
The Employee Login link directs users to company SharePoint resources using Microsoft 365 work accounts. Access depends on account permissions and company security policies, including applicable multifactor authentication requirements. A link on the public website does not itself grant access to private company records.
We use administrative and technical measures intended to protect personal information. No website, email system, or storage service can guarantee absolute security.
Retention
Retention depends on the type of record and its purpose, applicable legal and contractual requirements, company recordkeeping needs, and the handling of disputes or investigations. Deletion may be limited by those obligations and by backup retention.
Privacy requests
To ask about personal information associated with your website inquiry, request a correction or deletion, or raise a privacy concern, contact info@fairmanage.com or call 909.392.7075. Include enough information to identify the relevant interaction, but do not email sensitive identity documents unless requested through an appropriate process. We may need to verify identity and authority before responding. Requests will be handled subject to applicable law and recordkeeping obligations.
California residents
California residents have rights under the California Consumer Privacy Act, as amended, to know and access personal information, obtain a portable copy where applicable, correct inaccurate information, and request deletion, subject to legal exceptions. You may also opt out of sale or sharing for cross-context behavioral advertising and limit uses or disclosures of sensitive personal information where the law provides that right. We will not discriminate or retaliate against you for exercising these rights.
Fairmont does not sell personal information or share it for cross-context behavioral advertising and has not done so during the preceding 12 months. This includes personal information of individuals under 16. Global Privacy Control signals do not change this no-sale/no-sharing practice.
Submit California privacy requests by emailing info@fairmanage.com or calling 909.392.7075. You do not need to create an account. An authorized agent may submit a request on your behalf; we may require proof of authorization and, where permitted, verification directly with you. We use information supplied for verification only as permitted to verify and process the request. We generally respond to verified access, correction, and deletion requests within 45 days; if an extension is permitted and needed, we will explain the reason and timing. Legal exceptions may limit what we can provide or delete.
The information described in this website notice includes identifiers and contact details, internet or device activity, and information contained in correspondence or submitted records. Sources include you, authorized people submitting records, and the technical services described above. The purposes and categories of recipients are described in “How information is used” and “Service providers and other disclosures.” Separate notices may apply to employment, rental applications, resident records, and other property-management activities.
Links to other websites
Community cards and other links may take you to separate property websites or external services. Their privacy notices describe their own collection and use of information. Review those notices before submitting an inquiry or application.
Changes to this policy
We will post updates on this page and revise the effective date when an updated policy takes effect. Where required by law, we will provide additional notice of material changes.
